TheWealthSpecialty Asset Support Analyst provides critical operational and administrative support for the management ofunique and hard-to-value assetsheld in fiduciary accounts. These assets include real estate, closely held business interests, mineral, oil and gas interests, loans and notes, life insurance, and tangiblepersonal property.
This role supports the full lifecycle ofuniqueassetsfrompreacceptanceand onboarding through ongoing administration, monitoring, valuation, annualreviewand disposition,while ensuring adherence to fiduciary standards, internal policies, and regulatory requirements.The Analyst works closely with Specialty Asset Managers, Wealth Advisors, Operations, Risk, Compliance, vendors, and clients to ensureuniqueassets are administered in a controlled, consistent, andwelldocumentedmanner.
This position plays an essential role in mitigating risk while enablingefficientunique assetadministrationand deliveringhighqualityclient service.
KeyAccountabilities
UniqueAsset Administration & Support
Support theWealthSpecialty Assets team in theonboarding anddaytodayadministration ofuniqueassetsin accordance withONB policies and procedures.
- Coordinate ownership changes,reregistrations, maintenance events, and asset documentation updates.
- Trackassetspecificadministrative requirements, conditions of acceptance, and ongoing management obligations.
Asset Monitoring, Valuations & Reviews
- Assistwith the collection, tracking, and review of asset valuations, inspections, andthirdpartyreports.
- Support annualuniqueasset review processes, including documentation collection and issue tracking.
- Process receiptsandmonitorasset income streams such as rent, royalties, loan payments, and other receivables;assistwithfollowuponpastdueitems.
- Coordinate real estate tax payments, insurance renewals, and claim processing.
- Maintainamortization schedules, track and administer promissory notes held in fiduciary accounts.
Compliance, Fiduciary Governance & Documentation
- Maintainaccurate, complete, andtimelydocumentation in trust accounting and workflow systems.
- Ensure administration activitiescomply withfiduciary standards, internal procedures, and regulatory expectations.
- Assistwith internal audits, reviews, and reporting related touniqueassets.
- Support administrative reviews ofuniqueassets and contribute to continuous improvement of procedures and controls.
Stakeholder Coordination & Client Service
- Serve as an operational point of contact for internal partnersregardinguniqueasset administration.
- Coordinate with vendors, property managers, insurers, appraisers, and other third parties.
- Schedule and prepare materials for meetings involving clients, advisors, anduniqueasset stakeholders.
- Communicate clearly and professionally to support complex,hightouchclient relationships.
Process Improvement & Projects
- Participate in initiatives to improveuniqueasset workflows, tracking, reporting, and scalability.
- Assistwith system enhancements related touniqueasset management platforms.
- Identifyopportunities to improve efficiency,risk mitigation, and service quality.
Qualifications and Education Requirements
Required:
- Bachelor's degree or equivalent experiencerequired; degree in Finance, Business, Accounting, Real Estate, or related field preferred.
- Minimum 2 years of experience in trust administration, financial services operations,uniqueor unique asset administration, or related fields.
- Strong attention to detail with the ability to manage complex documentation and deadlines.
- Knowledge of fiduciary concepts, trust administration practices, and operational workflows.
- Proficiencyin Microsoft Office (Excel, Word, Outlook) and ability to learn specialized trust systems.
- Excellent written and verbal communication skills.
- Ability to work effectively in ateambased, highly regulated environment.
Preferred:
- Experience supporting real estate, illiquid, ornontraditionalassets.
- Familiarity with asset valuation concepts, insurance administration, or loan servicing.
- Experience working with trust accounting or property management systems.
- Interest inorprogress toward professional certification (e.g., CTFA).
