Smartsheet Workflow & Automation Project Manager Contract Duration: 4 months (with potential for extension based on business need)
Location: Remote, anywhere in the continental United States
Role Summary: Group O is seeking an experienced Project Manager to design, build, and optimize end-to-end workflows using Smartsheet for one of our clients. This role will focus exclusively on implementing scalable, automated solutions that improve operational efficiency, reporting, and visibility across teams. The contractor will partner closely with internal team stakeholders to translate requirements into Smartsheet solutions, leveraging automation, dashboards, and advanced Smartsheet capabilities. The ideal candidate is a hands-on Smartsheet expert with deep experience building sophisticated workflows, automations, and executive-level dashboards.
Key Responsibilities
Essential Functions:- Design and build end-to-end workflows in Smartsheet, from intake and tracking through execution and reporting
- Configure and maintain Smartsheet automations, including alerts, approvals, update requests, reminders, and conditional logic
- Develop dashboards and widgets to provide real-time visibility for executives, program managers, and team members
- Create and manage cross-sheet formulas, cell linking, and summaries to support advanced reporting and data rollups
- Partner with business and technical stakeholders to gather requirements and translate them into Smartsheet solutions
- Ensure workflows are scalable, maintainable, and follow best practices for Smartsheet architecture.
- Troubleshoot and optimize existing Smartsheet solutions to improve performance and usability
- Document workflows, automation logic, and dashboard designs to support knowledge transfer
- Provide guidance and light enablement to end users as needed
Job Qualifications
Required Qualifications
- 3–5+ years of hands-on experience with Smartsheet, including complex implementations
- Expert-level knowledge of:
- Smartsheet automation rules
- Dashboards and widgets (metric, chart, report, and web content widgets)
- Reports, cross-sheet references, and advanced formulas
- Proven experience building workflow-driven solutions, not just standalone sheets
- Strong understanding of Smartsheet permissions, sharing models, and data governance
- Ability to work independently and manage deliverables throughout a fixed-term engagement
- Excellent communication skills with the ability to partner with both technical and non-technical stakeholders
Preferred Qualifications
- Smartsheet certifications (Core Product, Advanced Product, or Solution Architect)
- Experience integrating Smartsheet with other tools (e.g., Jira, Microsoft 365, Salesforce, or APIs)
- Background supporting PMO, operations, or large-scale program workflows
- Experience designing executive-level dashboards for leadership consumption

- Fully built and tested Smartsheet workflows aligned with business requirements
- Automated processes that reduce manual effort and improve data accuracy
- Executive-ready dashboards providing clear, actionable insights
- Clear documentation to support handoff at the conclusion of the contract
