Who we are looking for:
We are seeking an Administrative Assistant with strong time management skills, a positive attitude, organization, a good work ethic, and the ability to be flexible with duties.
What you'll do:
- Answer all incoming calls and be the first point of contact for all clients both in person and over the phone.
- Must be in office M-F
- Resolve administrative problems by coordinating the preparation of reports, analyzing data, and identifying solutions.
- Provide information to clients & team members by researching and answering questions and concerns.
- Check & maintain office supplies with impeccable attention to detail & organization.
- Manage marketing responsibilities such as creating flyers, social media, direct mailings, and special projects.
- Manages client gifting program for clients both in-process and closed loans.
- SalesForce Data Management, including milestones and special events, email campaigns, and mailing lists.
- Complete operational requirements by scheduling and assigning administrative projects, while expediting work results.
- Prepare monthly reimbursement reports through Concur.
- Coordinate with Loan Operations to name and save client documents promptly and with accuracy.
- Occasional deliveries around local offices.
What you'll need to be successful:
Success in this job relies on your time management skills, organization, and positive attitude. In addition, you'll need the following qualifications:
- MS Office and data entry skills
- Experience with marketing software, Adobe Creative Suite, Canva, etc.
- Event planning experience is a plus
- 1-3 years of recent administrative assistant experience
- Any finance industry knowledge is a plus.
- Knowledge of how to operate printers/scanners/fax machines.
- Must be reliable and proactive.
