Job Overview:- Provide comprehensive administrative and operational support to the Talent Acquisition organization to ensure efficient, compliant, and well-tracked processes.
- Manage invoicing, accounts payable, and detailed cost tracking for talent acquisition vendors using advanced Excel reporting.
- Develop, maintain, and analyze Excel-based tracking tools, including spend reports, vendor usage, budget reconciliation, and forecasting models.
- Create, process, and track purchase orders in JDE, ensuring accurate coding, approvals, and timely payment.
- Partner closely with Finance and Talent Acquisition leadership to monitor spend.
- Maintain accurate records within Talent Acquisition systems, including requisitions, vendor documentation, and financial tracking.
- Serve as a primary point of contact for recruiters, hiring managers, vendors, and finance partners, providing timely updates and operational support.
- Troubleshoot and resolve system issues related to requisition approval tools, ATS platforms, LinkedIn, Indeed, and SharePoint.
- Maintain detailed reporting and recordkeeping related to interview logistics
- Coordinate interview-related travel and logistics as needed.
- Ensure compliance with company policies, financial controls, and applicable employment regulations.
Requirements:- Proven experience as a recruiting administrator, HR coordinator, or similar administrative or operations-focused role.
- Advanced proficiency in Microsoft Excel is required, including creating and maintaining complex spreadsheets, pivot tables, formulas, cost tracking reports, and data analysis.
- Demonstrated experience managing invoicing, accounts payable, and financial reconciliation.
- Hands-on experience using JDE to process purchase orders and manage financial transactions.
- Experience supporting interview logistics and coordinating travel arrangements.
- Hands-on experience working within an Applicant Tracking System (ATS) (Taleo or Cornerstone preferred) and related recruiting tools.
- Strong organizational skills with the ability to manage multiple priorities, deadlines, and detailed data accurately.
- Excellent communication skills to collaborate effectively with internal stakeholders and external vendors.
- Proficiency in MS Office (Word, Outlook), with Excel as a core job requirement.
- Ability to work independently and collaboratively in a fast-paced environment.
- Strong attention to detail and ability to troubleshoot issues within SharePoint, ATS, and financial systems.
Preferred Qualifications:- Knowledge of HR processes beyond recruiting, such as onboarding or employee data management.
- Experience in the industrial gases industry or similar manufacturing or engineering environments.
