NetPlanner Systems, Inc.Summary: The primary function of the Project Assistant is to facilitate communication between Sales Account Manager, the Operations Project Manager(s), & other team members to ensure a smooth project function & completion of required project documents, milestones, tasks, and reports.
Tasks & Responsibilities
- Communicate professionally with internal staff for necessary team kick off meetings, data gatherings, and report status updates.
- Present a unified voice to the customer by being a point of contact when involved in multi-discipline projects.
- Coordinate regular reoccurring team meetings for projects with multiple disciplines involvement.
- Maintain and update job status, progress reports, & schedules as a job progresses.
- Provide support to the Operations Project Manager as needed and assist with reporting and billings being submitted in a timely fashion.
- Maintain a familiar knowledge of the submittal and close out phases of a project and follow up as needed to ensure proper completion.
- Create and maintain project schedules, schedule of values, & other pertinent information.
- Assign new projects to the appropriate PM & assist with the transfer of knowledge from Sales. Follow the project through completion.
- Create change orders as requested or needed from the PM in NetPlanner 360, send to the customer for approval & track completion.
- Proactively manages jobs with the Operations PM to mitigate any risks, issues, or errors that can arise.
- Demonstrates timely completion of tasks and reliability in achieving objectives.
- Facilitates coordination of efforts by team members.
- Provides adequate feedback of tasks and responsibilities for project completion & job requirements.
- Utilizes technology wisely to maintain organization, documentation, and process flow.
- Documents tasks and challenges for each project to provide a good overview and resource of lessons learned.
