Position SummaryWe're looking for a dependable and detail-oriented Project Administrator to support our Washington operations through a mix of office coordination and safety-related administrative tasks. This role plays a key part in keeping our regional office running smoothly while supporting field teams with documentation, supplies, and safety processes. The ideal candidate is organized, proactive, and committed to contributing to a safe and efficient work environment.
Essential FunctionsGeneral Administrative Duties:- Greet and assist visitors and professionally answer, screen, and direct incoming phone calls to the appropriate employees.
- Sorting and distribute mail and correspondence to the correct employees.
- Order and manage office supply inventory as needed.
- Organize and maintain project files in both electronic and physical formats, including the storage and upkeep of plans and specifications.
- Scheduling meetings and supporting internal events.
- Must be able to drive a company vehicle for work purposes, run errands and be able to travel to multiple projects to assist them as assigned.
Project Duties:
- Support with new hire onboarding, paperwork, safety orientations, and safety documentation
- Approve daily timecards and support processing of regional payroll
- Run certified payroll reports, collect union letters and other monthly project reports
- Ensure job invoice routing to responsible person, work with AP to properly set up workflow for invoices
- Assist project teams with subcontract billings through GC Pay using quantity information provided by project teams. Ensure that all lien releases, certified payrolls, etc. are received prior to payments.
- Support estimating with proposal documents, subcontractor and vendor quote solicitations, results postings, and file management
Safety Duties:- Responsible for managing inventory tracking and distributing Personal Protective Equipment (PPE)
- Maintain DOT driver files and manage uploading of files on DMO website
- Assist with scheduling appointments between employee and clinic (e.g., coordinating drug screenings, respirator fit tests, hearing tests, and follow-up documentation)
- Support safety meetings, training events, and compliance tracking to ensure required records are current and accessible
- Upload and organize safety documentation and records in HCSS and other internal systems

This position offers a pay range of
$62,000-85,000 annual salary, depending on experience.

Position Requirements Minimum Qualifications- High school diploma or GED
- 3+ years of administrative experience in the construction industry
- Proficiency in Microsoft Outlook, Word, and Excel
- Valid driver's license and clean driving record
- Strong communication, organization, and multitasking skills
Preferred Skills- Experience supporting construction or safety programs
- Familiarity with HCSS or similar safety management systems
