Your Role at PivotThe Warehouse & Inventory Coordinator is responsible for supporting daily warehouse operations while managing inventory stored in the dealership's warehouse. This role ensures accurate receiving, handling, documentation, storage, and staging of both dealership and client assets. This includes entering data into the internal system for returns to the warehouse, receiving product into the system, creating warehouse space plans for all live order/project inventory as well as pulling and analyzing receiving data. This role partners closely with Project Management, Sales, Installation, and Warehouse teams to deliver timely, accurate, and highly professional service to internal departments and external clients.
In Addition, You Will Be Responsible ForReceiving & Inspection- Receive, unload, and inspect incoming shipments of all products.
- Verify products against packing slips, purchase orders, or client manifests.
- Document and photograph items upon receipt; immediately reporting damages, discrepancies, or shortages.
- Accurately label and record materials in the warehouse or client inventory system.
Inventory Management (Client-Owned & Dealer-Owned)- Maintain accurate and up to date digital records of all items stored in the warehouse.
- Enter and update data, including item details, quantities, conditions, and locations.
- Perform regular cycle counts, audits, and reconciliation for client and internal inventory.
- Track and document all inbound, outbound, and internal transfers.
- Maintain dedicated client storage areas; ensure items are protected, organized, and accessible.
- Generate inventory reports for clients and internal teams as required.
Storage, Organization & Warehouse Operations- Store items safely and efficiently following dealership guidelines.
- Safely and efficiently use warehouse equipment (pallet jacks, dollies, forklifts if certified) as needed.
- Maintain clean, safe, orderly warehouse areas including racks, aisles, docks, and staging zones.
- Support layout and organization improvements for space and process
- Notify Warehouse Manager when space or racking configurations need adjustments due to client inventory growth or reduction.
Order Picking, Staging & Dispatch- Pull and stage inventory for installations, deliveries, or client requests.
- Prepare project materials for installation teams according to work orders or PM direction.
- Create accurate pick lists, packing lists, and staging sheets for outbound
- Load trucks safely and securely; ensure correct items and quantities are dispatched.
- Assist installers or drivers during loading/unloading as needed.
Client Inventory Program Support- Serve as a key point of contact for internal teams regarding inventory-related inquiries or issues.
- Provide timely updates, availability checks, photos, and condition reports.
- Support client audits, on-site walkthroughs, and inventory verification requests.
- Coordinate reorders, reductions, repairs, or disposition activities in collaboration with PMs and Sales.
- Support special programs (e.g., demo chair programs, client product returns, asset disposition).
Client Service & Communication- Respond promptly to internal and external requests regarding stored items.
- Uphold professional standards when interacting with clients or building personnel.
- Ensure transparency, accuracy, and accountability in all communications.
General Warehouse Support- Maintain compliance with all safety policies and equipment operating procedures.
- Participate in team meetings, continuous improvement efforts, and ongoing training opportunities.
We're Excited About You If You Have- High school diploma or equivalent.
- 1-3 years of warehouse, logistics, or inventory control experience.
- Ability to lift 50-75 lbs regularly; comfortable working on feet for extended periods.
- Strong attention to detail and documentation accuracy.
- Basic computer proficiency (inventory systems, MS Office Suite).
- Ability to read and understand packing slips, work orders, and inventory documents.
- Experience in commercial office furniture, asset management, or 3PL environments.
- Forklift certification or ability to obtain certification.
- Experience photographing and documenting product conditions.
- Familiarity with dealership systems (CORE, TeamDesign, Hedberg, Netview, Snaptracker,etc.).
WORK ENVIRONMENTThe work environment is in a warehouse setting with frequent lifting, bending, walking, and equipment operation. Occasional onsite deliveries or interaction with clients, contractors, or installers. PPE required per company safety guidelines.
LANGUAGE SKILLSAbility to fluently speak and understand English. Ability to comprehend and follow verbal instructions given in English. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals written in English. Ability to write routine reports and correspondence in English. Ability to speak effectively, in English, before groups of customers or employees of organization. Must communicate in English via telephone to management, customers, vendors, and/or other employees.
MATHEMATICAL SKILLSAbility to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, proportions, and percentages.
REASONING ABILITYAbility to define problems, collect data, establish facts, and draw valid conclusions. CERTIFICATES, LICENSES, REGISTRATIONSForklift operation certification is required. (Training and certification will be provided if needed to meet this requirement.)
