We invite you to become a pivotal part of our team as a Records Specialist. In this role, you will serve as an integral part of the Records Management team reporting to the Director, Records Management.
The Records Specialist is responsible for processing, interpreting, and recording biographical, gift, and pledge data within the Affinaquest CRM system. This includes gathering and analyzing supporting documentation, applying IRS regulations and CASE guidelines, and ensuring compliance with university gift policies. The specialist will identify and resolve discrepancies and ensure data integrity through close collaboration with both internal departments and external stakeholders. As well as supporting Planned Giving by researching, analyzing, and processing gifts and pledges. Identifies philanthropic gifts, prepares campaign pledge reminders, and assists in managing funds received.

Job Summary
Supports Planned Giving by researching, analyzing, and processing gifts and pledges. Identifies philanthropic gifts, prepares campaign pledge reminders, and assists in managing funds received.
Essential Functions
- Enter and maintain high volumes of gift, pledge, and biographical data in the Affinaquest CRM. Apply University policies, IRS regulations, and CASE standards to all data entry procedures.
- Conduct research to resolve incomplete or discrepant data and ensure accuracy and completeness.
- Provide excellent customer service and clear communication to donors and partners.
Physical Effort
Light - Little physical effort required. Duties are primarily sedentary. May be required to move objects up to 25 pounds occasionally.
