Job Summary: (ON-SITE Seal Beach, CA) The Human Resources Assistant provides operational and administrative support across multiple HR functions, ensuring efficient execution of people-related processes in a regulated biotech environment. This role supports the employee lifecycle from onboarding through offboarding and serves as a point of contact for employee inquiries.
The HR Assistant partners closely with Talent Acquisition, Total Rewards, Learning & Development, and HR Operations, while maintaining strict confidentiality and data integrity. This position also serves as backup support to the Talent Acquisition Coordinator as needed.
Responsibilities- HR Operations & Administration
- Provide day-to-day administrative and operational support to the Human Resources team.
- Serve as the first point of contact for HR inquiries; triage and respond to employee questions with professionalism and discretion.
- Maintain accurate and up-to-date employee records in HRIS and other internal systems, ensuring data integrity and compliance.
- Generate and distribute standard and ad-hoc HR reports, including headcount, onboarding status, and compliance tracking.
- Assist with HR audits and support documentation for regulatory and compliacne requirements.
- Support updates and maintenance of HR polices, procedures and interal documentation.
- Onboarding & Offboarding
- Coordinate onboarding activities including offer documentation, pre-employment screening (background checks, drug screens, reference checks), I-9 processing, and new hire system setup.
- Facilitate new hire orientation and onboarding presentations.
- Manage new hire communications, welcome materials, and employee swag distribution.
- Support offboarding processes including termination documentation, system updates, and exit logistics.
- Talent Acquisition Support
- Schedule interviews and coordinate candidate logistics.
- Assist with interview panel coordination and candidate communications.
- Cross train and provide backup support to the Talent Acquisition Coordinator or Talent Acquisition team as needed.
- Total Rewards & Payroll Support
- Assist with benefits administration support, including employee communications and documentation processing.
- Support compensation and rewards programs, including recognition initiatives.
- Partner with Payroll to ensure accurate employee data changes and documentation.
- Vendor & Contract Administration
- Process and track HR-related contracts and agreements, including Master Service Agreements (MSAs), POs, invoices, and contingent workforce documentation.
- Coordinate with external vendors and internal stakeholders to ensure timely processing and compliance.
- Employee Engagement & Communications
- Assist in planning and executing employee events and engagement initiatives.
- Draft and distribute HR communications, announcements, and updates.
- Support Learning & Development initiatives, including training logistics and tracking.
- Compliance & Confidentiality
- Maintain strict confidentiality of employee and company information.
- Ensure adherence to federal, state, and company-specific employment regulations.
- Support compliance tracking related to required training, certifications, and regulatory standards relevant to a biotech organization.
- Other Duties
- Perform additional responsibilities as assigned to support evolving business needs.
QualificationsRequired Experience and Education:- Associate degree with 2-4 years of relevant experience, or Bachelor's degree with 0-2 years of experience in Human Resources, Business Administration, or related field.
- Experience supporting HR functions in a regulated industry (biotech, pharmaceutical, healthcare, or manufacturing) preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); experience with HRIS systems (i.e. ADP, UKG, or similar) preferred.

Working Conditions and Physical Requirements:- Primarily works in a standard office environment with routine use of computer and office equipment.

- Hearing and verbal ability sufficient to communicate effectively in person, by phone, and via video conferencing.
- Ability to lift up to 25 pounds on occasion (e.g., event materials or onboarding supplies).
- May require limited exposure to temperature-controlled environments (2ºC-8ºC; -20ºC; -75ºC; -196ºC) in support of business operations.
- Ability to work across multiple time zones when necessary.
