Jacksonville, Florida.Position SummaryThe External Manufacturing & Operations Specialist supports day-to-day activities related to third-party manufacturing partners, including marketing kits, and indirect materials procurement. The role focuses on operational coordination, data management, supplier performance monitoring, and the execution of procurement processes, partnering closely with Quality, Engineering, EHS, Finance, and Supply Chain Source.
Role PurposeThis dual-role position provides structured operational support to (1) the Sr. Manager, External Manufacturing and (2) the Internal Operations team that manages key indirect materials. The role creates capacity for strategic external manufacturing initiatives while driving process efficiencies, cost control, and supplier performance in the indirect materials space. The Specialist acts as a coordination point between internal operations, third-party suppliers, and external manufacturing partners to ensure seamless execution and timely decision support.
Support Allocation (Guideline)~60% External Manufacturing support; ~40% Indirect Materials Procurement support (flexes with business needs).
Key ResponsibilitiesThird-Party Partner Support• Coordinate routine communication with contract manufacturers and service providers (status, actions, follow-ups).
• Track vendor performance metrics (KPIs) and support issue documentation, escalation, and closure.
• Ensure vendors meet J&J safety, quality, compliance, and sustainability expectations.
• Provide administrative and analytical support for contract-related activities in partnership with Supply Chain Source.
Indirect Materials & Operations Support• Support procurement and sourcing of indirect materials (e.g., MRO, facility services, maintenance).
• Maintain supplier files, purchase orders, and documentation in alignment with J&J policies and controls.
• Partner with Internal Operations to identify consolidations, standardizations, and sourcing efficiencies across key categories.
• Coordinate cross-functionally (EHS, Quality, Engineering, Finance) to ensure timely purchasing support and materials availability.
Decision Support to Sr. Manager, External Manufacturing
• Prepare concise analyses, scorecards, periodic reports and business case inputs/analysis to enable data driven prioritization and decision-making.
• Consolidate inputs from vendors and internal teams to highlight risks, trends, and required follow-ups.
• Maintain action logs and ensure decision trackers are current and distributed on time highlighting risks and opportunities.
Analytics & Reporting• Maintain dashboards/trackers for vendor performance, PO cycle times, inventory or materials availability, and cost efficiency metrics.
• Use Excel and enterprise data (SAP/Ariba) to perform basic analysis; leverage AI tools to accelerate report generation and insights.
• Ensure data accuracy, version control, and timely distribution of weekly/monthly reports.
Stakeholder Engagement• Facilitate clear, timely communication between internal teams and external business partners.
• Schedule/coordinate/lead/co-lead meetings, capture minutes and actions, and follow through to completion.
Compliance & Systems• Execute procurement activities in adherence to J&J procurement policies, ethical standards, and applicable regulations (e.g., FDA, ISO 13485).
• Use Ariba, SAP, and other enterprise systems for purchasing transactions, reporting, and vendor management tasks.
• Maintain auditable documentation and support readiness for internal/external reviews.
Process & Continuous Improvement
• Identify opportunities to streamline documentation, reporting, and communication workflows across both support areas.
• Support small-scale process improvement initiatives (Lean/Six Sigma concepts) and share best practices.
• Document standard work (SOPs, work instructions, templates) to drive consistency and reduce cycle time.
Key Outcomes / Success Measures• On-time completion of vendor communications, data updates, and procurement transactions.
• Accurate and timely maintenance of supplier KPIs and performance reports; reduction in manual rework.
• Measured cycle-time improvements in PO processing, issue escalation, or materials availability.
• Reduction of administrative burden on Sr. Manager, External Manufacturing, evidenced by timely decision-ready materials.
• Error-free documentation and adherence to sourcing and regulatory requirements.
• Positive stakeholder feedback from Internal Operations, External Manufacturing, Quality, Source and Finance.

Required Qualifications:• Bachelor's degree in Supply Chain, Business, Engineering, or related field.
• 2 plus years of experience in supply chain operations, procurement, vendor management, or related roles.
• Familiarity with regulated manufacturing environments (medical device or pharma preferred).
• Strong analytical, organizational, and follow-through skills; attention to detail for managing supplier performance and procurement data.
• Proficiency with Microsoft Office, SAP, and Ariba; ability to learn new systems and AI-enabled productivity tools.
Preferred Qualifications• Experience supporting cross-functional teams in fast-paced, matrixed environments.
• Exposure to Lean, Six Sigma, or operational excellence toolkits.
• Ability to support problem-solving and propose practical, data-informed solutions.
