IT Mobility & Asset Manager

Role Overview
We are looking for an IT Mobility & Asset Manager to own the full lifecycle of our IT hardware fleet for a workforce of ~5,000 employees. This role is responsible for maintaining a single source of truth across all IT assets—mobile devices, laptops, desktops, large copiers, network infrastructure, select IoT devices, and other IT-managed equipment.
You'll combine hands-on operational work with strategic ownership: designing processes, driving cost control, partnering with HR, Finance, Cybersecurity, and IT, and managing our vendor ecosystem. Key Responsibilities
Asset Lifecycle Management (All Hardware Categories)- Own the end-to-end lifecycle for all IT assets: procurement, deployment, reassignment, repair, and retirement.
- Execute hardware purchasing across all categories:
- Validate business needs and select vendors
- Coordinate approvals with Finance
- Reconcile deliveries against budget and inventory records
- Maintain a centralized asset inventory as the authoritative source across:
- MS 365 / Entra ID
- Intune
- Datto RMM
- MDM platforms
- Dell and OEM portals
- Carrier portals and procurement platforms
- Enforce asset tagging, labeling, and physical organization standards across:
- All brands
- Corporate office
- Depot and storage locations
- Manage spare devices:
- Quarterly review of spare pool age and condition
- Retire underperforming hardware and replace with current-generation devices
- Ensure all recovered devices (terminations/upgrades) are wiped, re-evaluated, and redeployed via the spare pool before any new purchases.
- Monitor and audit IT asset costs:
- Identify overcharges, billing errors, unused licenses, and cost savings
- Provide regular findings and recommendations to Finance and IT leadership.
Mobility Management (˜70% of the Role)- Own the mobile device program (smartphones & tablets) across T-Mobile and AT&T accounts.
- Manage Apple Business Manager and Scalefusion MDM:
- Enrollment, compliance, and policy enforcement.
- Conduct monthly carrier invoice audits to identify:
- Orphaned / ghost lines
- Misconfigured rate plans
- Suspended lines still billing
- Coordinate device staging and shipping with logistics vendors (e.g., Hyperion, Apex Wireless) and manage the relationship with contracted mobility service providers.
- Enforce the spare pool process:
- Ensure all recovered devices from offboarded employees are logged and redeployed before new procurement.
- Track the physical and logical whereabouts of all mobile devices:
- Reconcile MDM location data with manual records
- Run regular MDM reports for devices with zero battery or no recent check-in
- Escalate unresolved cases for suspension or recovery.
Endpoint Hardware (Laptops & Desktops – ˜20%)- Manage procurement, imaging, deployment, and retirement of all employee laptops and desktops.
- Maintain inventory accuracy between endpoint management tools (e.g., Datto RMM, Intune) and the master asset database.
- Define refresh cycles by device category and forecast capital needs on a quarterly and annual basis.
- Coordinate with IT Support on warranty claims, repairs, and management of loaner/backup devices.
Large Copiers- Oversee large-format copier deployments across company locations.
- Manage:
- Lease terms
- Vendor contracts and SLAs
- Maintenance and uptime
- Track copier costs by brand/business unit and identify optimization opportunities ahead of renewals.
Network Infrastructure Hardware- Maintain inventory of:
- Firewalls
- Network switches
- Access points
- UPS units
- Networked storage and related infrastructure devices
- Partner with Network Analyst and Cloud Admin on:
- Hardware refresh planning
- Capacity and lifecycle tracking
- Ensure accurate documentation of lifecycle stage, location, and support contracts.
IoT & Specialty Devices- Provide light remote support (no on-site work) for:
- Access control hardware
- Cameras
- Sensors
- Digital signage
- Other connected IoT endpoints
- Coordinate with Cybersecurity to ensure IoT assets are properly segmented and monitored.
- Support brand/facility teams to build and maintain site-level IoT inventories.
Vendor & Contract Management- Manage relationships and contracts with:
- Hardware vendors
- Carriers
- MDM providers
- ITAD vendors
- Repair and logistics partners
- Review contracts at renewal:
- Negotiate terms and pricing
- Enforce data ownership and exit provisions
- Evaluate and onboard new or replacement vendors as needed.
- Oversee IT Asset Disposition (ITAD) via the approved hierarchy:
- Enterprise ITAD vendor ? local partner ? on-site depot.
Process, Compliance & Reporting- Own and maintain SOPs for key asset workflows:
- New hire provisioning
- Reassignment
- Terminations
- Lost/stolen devices
- Repairs and recycling
- Enforce device return policies for terminated employees, escalating non-compliance to HR and management.
- Enforce a "no new procurement" rule where spare pool thresholds are not depleted.
- Produce regular reporting:
- Daily ticket metrics (as applicable)
- Weekly spare pool status
- Monthly cost control reports
- Quarterly fleet audits.
Data, Dashboards & Visibility- Partner with the Data team to build and maintain Power BI dashboards showing:
- Inventory details and lifecycle stage
- Costs by category and business unit
- Compliance and exceptions
- Ensure all source systems (MDM, HRIS, carrier portals, procurement platforms) stay reconciled with the master asset database.
- Provide management with monthly cost control summaries and quarterly fleet audit findings.
Key Interfaces
- You will collaborate closely with:
- HR: New hire, reassignment, and termination triggers
- Finance: Cost reporting, budget forecasting, contract approvals
- Cybersecurity: Device compliance, IoT segmentation, lost device response
- IT Support: Escalations, repairs, and loaner pool coordination
- Network Analyst / Cloud Admin: Infrastructure tracking and capacity planning
- Field Technicians: On-site deployments, collections, depot coordination
- Vendors: Carriers, MDM providers, ITAD partners, repair and logistics partners
Leadership & Technical Background
- Experience managing or coordinating a small team (2–4 analysts/technicians):
- Task delegation and workload prioritization
- Day-to-day performance oversight
- Proven ability to act as primary operational escalation point, making decisions independently without constant direction.
- Working knowledge of IT infrastructure fundamentals:
- Networking concepts, switching, wireless, firewall basics.
- Comfortable interfacing with Network and Cloud teams on infrastructure decisions without needing deep hands-on expertise.
- Familiarity with endpoint management at scale:
- Imaging workflows
- Remote management tools
- Device compliance monitoring.
Qualifications
- 3–5 years in IT asset management or a similar IT operations role, ideally in a multi-site enterprise environment.
- Hands-on experience with:
- MS 365, Entra ID, Intune
- Scalefusion, Datto RMM
- Network platforms like Unifi/Ubiquiti and Fortinet.
- Familiarity with Apple Business Manager and corporate Apple device programs.
- Experience managing carrier accounts (T-Mobile, AT&T) and reconciling telecom invoices.
- Strong process documentation skills and experience writing/maintaining SOPs.
- Proficiency with asset tracking tools and reconciling data across multiple systems.
- Experience creating or contributing to reports/dashboards (e.g., Power BI or similar tools).
- Comfortable operating in a fast-paced, lean team environment.
What Success Looks Like in the First 90 Days
- Within your first three months, you will have:
- Established and reconciled a master inventory across all key source systems.
- Completed a carrier line audit, identified cost recovery opportunities, and initiated remediation.
- Operationalized a spare pool process across all major device categories.
- Reviewed and documented all active hardware and mobility contracts.
- Implemented or refreshed SOPs for the five core workflows:
- New hire
- Reassignment
- Termination
- Lost device
- Recycle / disposition.
