We are seeking a highly organized and proactive Office Manager / Operations Coordinator to support daily office operations for a growing service-based company. This role is ideal for someone who thrives in a fast-paced environment and has experience managing scheduling, customer communication, invoicing, and office workflows.
Responsibilities
- Manage daily office operations and administrative tasks
- Answer incoming calls and coordinate customer communication
- Schedule appointments and dispatch technicians efficiently
- Process invoices, payments, and accounts receivable in QuickBooks Online
- Maintain organized records, permits, and operational reports
- Order materials and coordinate with vendors
- Support leadership with calendars, scheduling, and reporting
- Utilize AI tools such as ChatGPT or Gemini to improve efficiency and streamline tasks
Qualifications
- 2+ years of office management, administration, dispatch, or operations experience
- QuickBooks Online experience required
- Strong communication and organizational skills
- Experience with ServiceTitan, Housecall Pro, Jobber, or similar software preferred
- Proficiency with Google Workspace and AI tools
- Bilingual English/Spanish is a plus
