About Us
We are a small, established financial firm with a close-knit team of five. Our office is fast-paced, direct, and team-oriented. We enjoy what we do, we work hard, and we value professionalism with our clients. This is not a large corporate environment — we do not have layers of management or an HR department to mediate day-to-day issues. We're looking for someone who thrives in a straightforward, accountable workplace and takes ownership of their role.
Position Overview
We are seeking a highly organized, professional Executive Assistant who can support leadership and help keep our office running smoothly. This role requires strong communication skills, attention to detail, discretion, and the ability to balance taking direction with independent problem-solving.
You do not need a background in finance. You do need to be comfortable speaking with clients, managing conversations confidently, and representing the firm in a polished and professional manner.
Key Responsibilities:
- Provide executive and administrative support to firm leadership
- Prepare and format documents using Microsoft Word and Excel
- Manage calendars, schedule appointments, and coordinate meetings
- Communicate with clients professionally via phone and email
- Maintain organized files and office systems
- Assist with general office operations and special projects
- Anticipate needs and proactively address issues when appropriate
What We're Looking For:
- Proficiency in Microsoft Word and Excel
- Strong written and verbal communication skills
- Professional phone presence and client-facing demeanor
- Ability to take clear direction while exercising sound judgment
- Problem-solving mindset — knowing when to handle an issue independently and when to ask questions
- High level of discretion and reliability
- Comfortable working in a small office environment without corporate structure
