Contract Length: 6 - 12 month - intent to convert to full-time
Pay Rate: $40.14 - $47.89 per hour on W2
Russell Tobin is seeking a highly organized Project Coordinator to support a large-scale HR transformation and technology deployment initiative across the United States. This role will provide critical project coordination and PMO support, helping ensure alignment across workstreams, maintaining project documentation, tracking risks and dependencies, and facilitating effective communication among stakeholders.
The Project Coordinator will play a key role in supporting project execution by coordinating schedules, managing project artifacts, monitoring action items, and helping teams proactively identify and mitigate risks that may impact timelines or deliverables.
The ideal candidate will have experience supporting enterprise projects, strong organizational skills, familiarity with HR technology initiatives, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Provide day-to-day project coordination support for HR transformation and technology implementation initiatives across the U.S. and Canada.
- Coordinate project activities across multiple workstreams, stakeholders, and functional teams.
- Maintain project schedules, milestones, action items, and status updates to ensure project alignment and accountability.
- Facilitate scheduling and availability of key project resources, subject matter experts, and leadership stakeholders.
- Track and manage project dependencies, ensuring potential impacts are identified and escalated appropriately.
- Maintain RAID logs (Risks, Assumptions, Issues, and Dependencies) and support mitigation planning efforts.
- Coordinate project meetings, working sessions, steering committees, and governance activities.
- Prepare meeting agendas, capture meeting minutes, document decisions, and track follow-up actions.
- Support project reporting by gathering updates and preparing status reports, dashboards, and project documentation.
- Partner with project managers and workstream leads to monitor deliverables, timelines, and resource needs.
- Assist with change management, communications, training coordination, and deployment readiness activities as needed.
- Ensure project documentation is organized, current, and accessible to stakeholders.
- Identify opportunities to improve project processes, coordination, and communication effectiveness.
Required Qualifications
- Bachelor's degree in Business Administration, Human Resources, Project Management, Information Systems, or a related field.
- 2–5 years of experience supporting project management, PMO, program coordination, or related functions.
- Experience maintaining project plans, RAID logs, action trackers, and project documentation.
- Strong organizational and time management skills with exceptional attention to detail.
- Ability to coordinate multiple priorities and stakeholders simultaneously.
- Proficiency with Microsoft Office Suite, including Excel, PowerPoint, Teams, and Outlook.
- Experience using project management tools such as Smartsheet, Microsoft Project, Jira, Asana, Monday.com, or similar platforms.
- Strong written and verbal communication skills.
- Ability to work independently while collaborating effectively across cross-functional teams.
Preferred Qualifications
- Experience supporting HR technology, HR transformation, Workday, UKG, payroll, or workforce management projects.
- Familiarity with PMO methodologies, project governance, and project lifecycle management.
- Experience supporting multi-country or North American implementation programs.
- CAPM certification or formal project management training preferred.
- Experience working in consumer products, manufacturing, retail, or large enterprise environments.
