Senior Administrative Assistant
The Senior Administrative Assistant will provide high level administrative support to the Vice Chair, Division Chief, and/or Research Leadership in the Department of Radiology.
Responsibilities
- Review and prioritize mail, compose and prepare correspondence, reports, mail merges and other documents.
- Screen and monitor all incoming calls and visitors; field questions or forward them to the appropriate persons; maintain contact lists.
- Manage the vice chair, division chief and/or research leadership's calendar, and schedule and confirm meetings, coordinate meetings and conferences, coordinate travel arrangements and prepare and process expense reports in a timely manner.
- Provide discreet and confidential administrative management of information and interact with executive staff and provide information to all levels of University faculty, administrators and staff as appropriate.
- Coordinate and organize departmental conferences or events and research-related initiatives as requested.
- Maintain and organize confidential files, records, and correspondence.
- Act as liaison between the administrative office and to other departments within the hospital/university and other institutions.
- Assist in the preparation of reports, lectures, slides and manuscripts.
- Tracks submission of vacation/time-off for all reporting to the vice chair, division chief and/or research leadership, including receiving monthly timesheets and organizing them for signature
- Provides coverage in the absence of the Executive Assistant
- Perform other duties as assigned.
Minimum Qualifications
- Bachelor's degree or equivalent in education and experience, plus three years of related experience.

- Excellent verbal and written communication skills; strong interpersonal skills and the ability to handle confidential information with exceptional professionalism, independence, judgment and discretion. Must have the ability to work under minimal supervision. Demonstrated ability to set priorities, handle multiple tasks/assignments, and work with diplomacy and efficiency, outstanding organizational ability, as well as the ability to manage deadlines and follow through on assignments/projects. Must be detail oriented with excellent work processing skills. Excellent problem solving skills and the ability to handle multiple tasks and follow through on the completion of projects. Medical academic experience preferred. Proficient in Word, Excel and PowerPoint graphics.
