Workers' Compensation Administrative Assistant (Experienced)

Position Overview
We are seeking an experienced Workers' Compensation Administrative Assistant to support multiple attorneys in a fast-paced, high-volume legal environment. This role requires a highly organized, detail-oriented professional who can work independently, manage competing priorities, and proactively support attorneys in meeting strict deadlines under North Carolina workers' compensation procedures.
Key Responsibilities
Legal & Administrative Support
Prepare, complete, transcribe, revise, and format workers' compensation court forms and legal correspondence
Ensure accuracy and compliance with North Carolina workers' compensation requirements
Proactively monitor deadlines and assist attorneys with case management and prioritization
Anticipate attorney needs and follow up on outstanding tasks without direct supervision
Preparing documents via dictation from attorneys
Electronic Filing & Case Management
Perform electronic filings with the North Carolina Industrial Commission and other courts/agencies
Organize, bookmark, maintain, and update electronic case files
Import, export, and manage digital documents within the firm's document management system (NetDocuments)
Maintain consistent file organization standards in a high-volume setting
Scheduling, Time Entry & Calendar Management
Coordinate and maintain attorney calendars, including hearings, mediations, deadlines, meetings, and appearances
Track critical case dates and ensure deadlines are met
Enter attorney time into billing software
Client, Counsel & Agency Communication
Serve as a primary point of contact for clients, outside counsel, insurance carriers, and administrative agencies
Communicate professionally and efficiently via phone, email, and written correspondence
Handle sensitive information with discretion and professionalism
Required Qualifications
Prior experience as a legal administrative assistant or legal assistant
Workers' compensation experience strongly preferred
Proficiency in Microsoft Word, Outlook, and Adobe Acrobat
Strong organizational skills with the ability to manage a high caseload
Ability to multitask, prioritize, and work independently in a deadline-driven environment
Excellent written and verbal communication skills
Experience with NetDocuments or similar document management systems preferred
