Reception-Office Associate
The Reception-Office Associate interacts with visitors and customers in person, by phone and email. In addition, the Reception-Office Associate performs required office clerical and administrative duties.
- Greet and assist visitors.
- Answer telephone, gathers customer information, and directs phone calls as needed.
- Greet and assists job applicants.
- Direct any over the counter sales inquiries to the appropriate staff.
- Performs daily sorting and opening of mail and distributes accordingly.
- Processes outgoing mail 2-3 times per week or as needed (USPS, Fed-Ex, UPS)
- Contacts customers via phone and email to collect past due monies over 30 days.
- Takes credit card payment information over the phone and provides to Accounting for processing.
- Updates and maintains accurate company phone list.
- Orders and maintains accurate inventory of office supplies, kitchen supplies, restroom supplies, cleaning supplies and other items as needed.
- Receive deliveries, gather all paperwork for purchases and provide to Accounting.
- Fill and restocks paper towels, restrooms tissue paper, hand soap, etc. weekly as needed.
- Maintains a clean and organized front desk-reception area.
- Maintains a clean and organized office breakroom. Starts coffee in the morning, cleans/declutters counters, refills paper towels, soap, etc.
- Performs other related duties as assigned.
Required Skills/Abilities:
- Work schedule is Mon-Fri 7:00 am to 4:00 pm (1 hour unpaid lunch break)
- Excellent verbal and written communication skills.
- Excellent interpersonal skills.
- Ability to multi-task.
- Bi-lingual (Spanish/English) not necessary but would be a plus.
- Proficient in Microsoft Office Suite or related software.
- Use of office 365 calendar management a plus.
- Excellent organizational skills and attention to detail.
- Good understanding of clerical procedures and systems such as recordkeeping and filing.
Education and Experience:
- High school diploma or equivalent.
- Experience in office, reception, clerical and administrative roles.
- Experience working independently, but not afraid to ask for help when unclear on new tasks.
- At least two years of accounting in construction industry or related experience.
