Field Secretary
Location: Elk Grove, CA
Pay Rate: $25.00 per hour
Position Overvie
wWe are seeking a detail-oriented and highly organized Field Secretary to provide clerical and administrative support to department management and staff. This temp-to-hire opportunity is ideal for a professional who thrives in a fast-paced environment, enjoys multitasking, and brings strong customer service and communication skills
Key Responsibilities
- Provide general clerical and administrative support under general supervisor
- Respond to customer inquiries, including calls related to billing, claims, policy issues, and company switchboard support
- Prepare reports, memoranda, and correspondence using word processing, spreadsheet, and graphical software
- Maintain organized files for managers and departments
- Manage calendaring, meeting planning, and scheduling (including Teams meetings
- Plan and coordinate departmental meetings and travel
- Prepare expense reports and meeting minutes
- Monitor, order, and manage office supplies
- Verify and process invoices for payment
- Handle shipping of materials and support special projects as assigned
Required Skills & Qualification
- High school diploma or GED
- 3–5 years of secretarial and/or administrative experience
- Intermediate to advanced proficiency in Microsoft Office (Word, Excel; database experience such as Access or SQL preferred
- Experience with Microsoft Teams, calendaring, and meeting coordination
- Strong phone presence and customer service skills
- Basic knowledge of accounting functions
- Experience with business writing
- Excellent organizational and multitasking abilities
- Strong verbal and written communication skills
- Ability to work independently with attention to detail
Preferred Qualification
- General knowledge of the insurance industry
- Public relations or customer-facing experience
- Some formal business training
