Under the direct supervision of the Supervisor I in the Division Support Office (DSO) and the Director of the Professional Learning Support Division (PLSD), and in coordination with program units and supervisors throughout the Department, the Office Technician provides administrative and clerical support services to the Director, Administrators, Consultants, and Analysts of the PLSD.
The incumbent independently performs a variety of routine and recurring support duties essential to Division operations. Perform general office support functions, including answering general inquiries, routing and screening telephone calls, and monitoring shared division email inboxes. Provide phone coverage for the PLSD, as assigned. Schedule appointments, meetings, and conference calls using Outlook, Microsoft Teams, and Zoom. Review correspondence for grammar, spelling, formatting, and compliance with the Correspondence Guide. Organize, prepare, duplicate, assemble, and distribute materials as directed. Review, edit, and track grant and contract related documents. Prepare and process business forms, including but not limited to Summary Cover Memos, personnel requests, conference attendance forms, travel expense claims, purchase requisitions, and duplicating requests.
Communicate with the public and internal staff, frequently handling sensitive or confidential matters. Screen visitors and incoming telephone calls, respond to requests for information received via telephone and email, and route inquiries to appropriate staff or take appropriate action. Provide rotating phone coverage for the Executive Office and Branch, as requested.
Prepare visitor permissions, greet and escort visitors upon arrival. Maintain effective working relationships across the Division and with other divisions to support shared and rotating administrative duties. Collect, distribute, and coordinate incoming and outgoing mail for PLSD staff. Serve as the Division Attendance Clerk. Serve as the Division Training Coordinator and Records Retention Coordinator, ensuring compliance with departmental and state requirements.
