Job Title: Senior Executive Personal Assistant
Location: San Anselmo, CA | 1 day onsite, 4 days remote
Salary Range: $175,000
Hours: Full-time
We are partnering with a private family office to identify a polished and highly adaptable Executive Assistant / Personal Assistant to support a UHNW principal and provide operational support across both personal and professional priorities. The ideal candidate is proactive, detail-oriented, emotionally intelligent, and comfortable managing shifting priorities with discretion and professionalism.
Key Responsibilities
Executive & Personal Support
- Manage complex calendars, scheduling, and strategic time management across multiple priorities and time zones.
- Coordinate personal and professional appointments, meetings, and commitments.
- Anticipate needs and proactively manage day-to-day logistics for the principal.
- Prepare meeting materials, itineraries, briefing documents, and follow-up communications.
Travel Coordination
- Handle end-to-end domestic and international travel arrangements, including flights, accommodations, transportation, dining, and itineraries.
- Serve as a point of contact during travel and assist with real-time changes as needed.
- Maintain detailed travel preferences and records.
Communication & Relationship Management
- Manage correspondence and communications on behalf of the principal with professionalism and discretion.
- Coordinate with vendors, household staff, service providers, and external partners.
- Assist with maintaining important personal and professional relationships.
Project & Operational Support
- Assist with special projects, research, event coordination, and ad hoc administrative needs.
- Support operational organization and help implement systems and processes where needed.
- Coordinate across multiple priorities while maintaining confidentiality and attention to detail.
Qualifications
- Prior experience supporting a UHNW individual, executive, or family office environment strongly preferred.
- Exceptional organizational and multitasking skills.
- Strong written and verbal communication abilities.
- High level of discretion, professionalism, and emotional intelligence.
- Ability to thrive in a fluid, fast-moving environment with changing priorities.
- Tech savvy with proficiency in Google Workspace and modern productivity tools.
- Self-starter with a proactive, solutions-oriented mindset.
- Comfortable balancing both executive and personal assistant responsibilities.
