Role OverviewThe Project Specialist provides high-level operational and administrative support to senior leadership, typically at the Global Vice President level or equivalent. The role requires strong independence, excellent organizational skills, and the ability to manage diversified tasks while ensuring accuracy, confidentiality, and timely delivery. The Project Specialist also supports process optimization and leverages IT and AI tools to enhance day-to-day executive effectiveness, proactively identifies opportunities for process improvement and increased efficiency, operating with a high level of autonomy and accountability, requiring minimal supervision.
The position is fully onsite, and hybrid work arrangements are not available. What you'll be doing at Arrow? - You will provide comprehensive support to an executive leader at VP level
- Prepare presentations, charts and standard reporting
- Support an expense report process
- Review contract commercial terms
- Work independently to perform a broad range of diversified administrative and project-related duties.
- Support the preparation and elaboration of reports by coordinating data gathering activities and ensuring data accuracy and consistency.
- Assist the executive in leveraging IT and AI tools to optimize daily task management and productivity.
- Prepare, compose, and initiate memoranda, presentations, reports, and other business materials.
- Organize and prioritize workload effectively to meet deadlines in a fast-paced environment.
- Manage and maintain executive calendars, including scheduling appointments, meetings, and travel itineraries, and coordinating all related travel arrangements.
- Arrange meetings and conferences; prepare agendas, record minutes, and distribute meeting documentation
- Operate personal computers and relevant software applications to support daily activities.
- Develop queries and generate, analyze, and distribute reports as required.
- Maintain accurate records, files, and documentation in line with company standards.
- Ensure strict confidentiality of all business and personal information handled in the role.
What we are looking for:- A 4-year university degree with 2-3 years of relevant experience
- Proficiency in standard office software and digital tools, including advanced level of excel; interest in IT/AI-enabled productivity solutions is an advantage
- Professional level of English and French (spoken and written)
- Strong organizational and time-management skills
- Ability to work independently and handle multiple priorities simultaneously
- High attention to detail and strong analytical skills
